  1. An Application for Graduation should be submitted to the Records Office at least one semester before you intend to graduate. Approvals for course substitutions (classes not mentioned in the catalog for your degree) should be included with application. Check with advisor for details.
  2. Go by the Business Office and pay $30.00 fee.
  3. Take Application for Graduation to the Record's Office.
  4. Record's office staff member will review your Application and if approved, will return copy to your advisor.
  5. Student will be notified immediately if problems exist.
  6. A letter confirming your name and degree information will be sent after your application is approved.
  7. Associate of Arts and Associate of Science students must successfully complete the Regents' Testing Program of the University System of Georgia and take the TAP test. 

General Graduation Information

Waycross College only performs one graduation ceremony per year in May. All students who have completed requirements for the Summer, Fall, and Spring terms of a school year are encouraged to participate. Application deadline is February 16th. Students may apply for graduation after the deadline, but your name may not be included in the graduation program and your diploma will not be available at the time of graduation and will be mailed at a later date.

Informational letters concerning graduation will be sent to all approved applicants towards the end of March. Please keep the Record's office informed of all address changes so you can receive information in a timely manner.

Students wishing to receive your degree in absentia must submit a letter to the Dean of Academic & Student Services. You may email your letter to secretary to the Dean and please include your mailing address.

Withdrawal Information

Students who need to withdraw may do so by contacting the Student Records Office or filling out a withdrawal form.

A W grade will be assigned for all courses that are dropped before the designated date published in the Academic Calendar (usually mid-semester). Your instructors will be contacted to assign a grade of W or WF for all withdraws completed after the designated last day to drop. Grades of WF are punitive and will adversely affect your grade point average.

Students that are receiving any source of financial assistance need to be aware of possible financial penalties before you complete the withdraw process. In most cases, students that have received Federal Pell Grant or Loans will be required to pay back a portion of the amount received. Academic Standing

Students are expected to make progress towards meeting degree requirements. The system for measuring academic progress serves three purposes:

    1. To inform the student that his/her grade point average is so low that graduation within a reasonable time is in doubt.
    2. To motivate the student to intensify effort to improve performance
    3. To encourage students to seek guidance from college officials in an effort to improve their performance in order to be successful.

Students are expected to have the following grade point average:

In a four point grading system, your grades are equal to the following:

A = 4 quality points
B = 3 quality points
C = 2 quality points
D = 1 quality point
F = 0 quality point

To calculate your GPA you need to use the following format:

(grade earned quality points) X (hours the class is worth)

then you would divide your quality points earned by the number of hours on your schedule. See the following example for an illustration:

3 hour A = 12 quality points
4 hour B = 12 quality points
2 hour C = 6 quality points
1 hour F = 0 quality points

10 hour schedule with 30 quality points = grade point average of 3.00 30/10 = 3.00

As you can see, the hours a course is worth make a major impact on your grade point average. If we take the same schedule but reverse the grades, look at the significant difference in the GPA:

3 hour F = 0 quality points
4 hour C = 8 quality points
2 hour B = 6 quality points
1 hour A = 4 quality points
the same 10 hour schedule with 18 points = grade point average of 1.80 18/10 = 1.80

Adding all of your course work together as you proceed towards meeting your degree requirements derives the cumulative grade point average.

12 first semester = 30 quality points
12 next semester = 25 quality points
12 third semester = 30 quality points
36 hours / 75 quality points = 2.08 cumulative GPA

Transcript Request Information

The Record's Office is required by Federal law to have a written request before we can release your transcript. This is done to insure the safety of your documents.

Request should include your full name, student ID number, birth date, and the address you would like your transcript to be mailed to. There is a $2.00 charge per copy. Fax and electronic request can be made, but we reserve the right to hold your documents until the fee is received.

Transcripts will not be issued to students that have an outstanding financial obligation to Waycross College.
